Office Administrator

RESPONSIBLE TO: People and Recruitment Specialist

Headed up by Emily Brooke, the British inventor and entrepreneur known for developing the Beryl (formerly Blaze) Laserlights used for Santander Cycles, our Head Office space is based in Bethnal Green, and is the creative hub of the Brand. It is here that critical product design decisions are made, supported by a best in class Tech Dev Department.

Teams which support the infrastructure of the business also play a key role in our success,  from Operations, Finance and People, to Business Development, Sales and Marketing. Our network of bike workshops are strategically positioned to support our local markets, all underpinned by a dedicated customer service team...

THE ROLE:

This role sits at the heart of our business, supporting all the action in our busy Head Office. We are looking for someone with high quality administrative prowess, who is highly organised, and takes pride in our office environment understanding the impact this has on the team. 

As you will be working across multiple departments, you will be able to multi-task easily, and a can-do attitude is essential. The successful candidate for this role will be someone we can all rely on.

 DUTIES & RESPONSIBILITIES:

ADMINISTRATIVE SUPPORT

  • To be an enthusiastic ambassador for the company and a central port of call
  • To provide a welcoming face for the business and provide excellent service for visiting guests and staff members
  • To provide ad hoc PA/Admin support to both the CEO and Founder, and Senior Management Team where necessary
  • To provide ad hoc admin support to the Ops, Tech, Design, Commercial, Policy, Marketing, Brand, People and Finance Teams. 
  • Duties include but are not limited to: answering and fielding calls/taking messages, receiving and signing for packages and alerting staff members of their arrival, welcoming guests and providing refreshments for meetings, distributing post
  • Ordering and monitoring office stationery and supplies, as well as any other ad-hoc consumable requests which may come in from time to time - all in line with our B-Corp Values 
  • Booking travel, couriers and cars when required

OFFICE ENVIRONMENT

  • To implement and maintain efficient and effective systems to ensure that the office runs smoothly in all aspects
  • To take care of the office environment, keeping it a beautiful, inspiring and safe place to work…so taking responsibility for Health and Safety management
  • Liaising with cleaners and other suppliers ensuring kitchen area  and office space remains clean, functional, tidy and appealing at all times
  • Quality control – Making sure the office space suitably reflects the high standards of the brand
  • Managing office security e.g key fob allocation to new starters / leavers and liaising with Property Managers 
  • Booking meeting rooms and keeping them attractive and presentable

 STAFF SUPPORT

  • With support from the People Team, manage the budget for all social and cultural activities, developing a calendar of events to support Beryls ambition to be a Great Place to Work
  • To be responsible for ensuring all new starters to Beryl receive a gold star induction which is both informative and exciting
  • Organising weekly office snacks/ Monday lunches and catering for events as required
  • Communicating company-wide regarding office based and cultural/social messages
  • Assistance in planning and organising company social events
  • Individual research/admin/creative projects 

DESIRED SKILLS & COMPETENCIES:

 

This person should be creative, confident in their IT skills, highly organised, able to prioritise, calm under pressure and full of personality. A positive, can-do attitude is a must. Experience working in an office environment is desirable but not essential.
